Our client’s problem

Brayne & Price Fine Food ran their business using paperwork, but recognised the growing need to reduce the number of manual processes and move to an easier iPad-based operation. They wanted to make their service more professional, improve efficiency and to retrieve information at the touch of a button, rather than relying on physical files and paperwork.

What we did

We created a totally bespoke system for Brayne & Price Fine Food that has grown and evolved throughout our seven year relationship. Today the system optimises every step of the business’s processes.

Brayne & Price’s system has to control the stock levels of hundreds of lines of fresh, frozen and ambient food products, all whilst taking availability, capacity and price fluctuations into account – not an easy task. We built a system from the ground up to ensure that it delivers optimum stock control, handles customer payments and integrates with Sage Accounting.

Our ongoing relationship with Brayne & Price has supported a range of improvements, including health and safety compliance recording, quality control and expense tracking. The system allows for accurate forecasting by recording overheads such as fuel and vehicle maintenance, and identifying customer ordering patterns.

“Our efficiency and therefore profitability has increased. Our business has grown but we haven’t needed to increase the head count because the staff no longer need to do those mundane, time-consuming tasks. They can focus on our customers and our business.”

The transformation journey

Business process analysis

We captured the aspirations of the business and understood current practices, then designed processes and systems to support those aspirations.

Bespoke software build

We built a bespoke system from the ground up, a perfect fit to support every process in the business. The system has evolved to reflect business growth.

IT strategy and continuous improvement

Our deep understanding of the client’s business means we can make proactive recommendations and drive continuous improvement, within the system and beyond.

The results

Through the introduction of our system, Brayne & Price have been able to grow their business successfully, without increasing headcount.

As part of our ongoing partnership, the next opportunity for system improvement is the introduction of a web portal. Though face-to-face customer relationships are prioritised, the portal will allow Brayne & Price’s customers the option of online ordering at short notice. This further enhances the business’s offering and builds their reputation as a premium catering supplier.

Each month the Decent Group newsletter delivers practical insights into how software systems can help you run a better business. It’s a quick way to check on your progress, identify business benefits you’re missing, and gain inspiration for the road ahead.

We typically explore how SMEs can (and should) leverage business systems to achieve tangible benefits. We dive into a recent project and what it delivered for our client, with lessons for businesses like yours. We'll also highlight the new tools and solutions our team has been developing and the impact they’re having on our clients (and ourselves). And we cover any relevant FileMaker news and what actions you can take in response.
